Welcome Your new Xerox DocuMate 520 scanner can scan stacks of items or single items, and place their images on your computer. WARNING: Do not plug in the USB cable until after you have installed the software. Carefully follow the steps and sequence described in the installation procedure beginning on page 5. Welcome Document Cover—Protects the document from light and contamination during scanning. Document Pad—Helps secure the document in place on the scanner glass. Reference Frame—Provides markings that show where to align various paper sizes. Glass—Items are placed face down at the upper left corner of the glass. Paper Stop—Holds items in place as they are ejected from the Automatic Document Feeder. Adjust for letter-sized or legal-sized pages. Paper Guide Extension—Unfolds to support multiple pages to scan.
Welcome What You Need An IBM-compatible Pentium PC with: • A CD-ROM drive • An available Universal Serial Bus (USB) port; 1.1 or 2.0 • Microsoft Windows operating system: 98SE, 2000, ME, or XP • Available internal memory (RAM) as follows: • • 64 MB or more • 128 MB recommended for Windows XP 200 MB of free hard disk space A VGA or SVGA Monitor Recommended settings for your monitor are as many colors as possible—High Color (16-bit), True Color (24-bit or 32-bit).
Installation Installation NOTE: Do not plug in the USB cable until after you have installed the software. Complete the installation steps in the order described in the installation procedure below. Installation is a quick, four-step process: 1. Assemble the scanner 2. Install the software 3. Connect and power on the scanner 4. Connect the USB cable to your computer Step 1: Assemble the Scanner All the components to assemble the scanner are included in the box. To assemble the scanner: 1.
Installation 2. Slide the locking tab on the bottom of the scanner to its unlocked position. Unlocked position NOTE: The locking tab protects the scanner’s scan head by holding it securely in position. Lock the scanner when transporting it from one location to another, but always remember to unlock it before scanning. The scanner will not scan when locked. 3. Insert the slots (A) on the Paper Guide onto their tabs (B) on the scanner and slide the Guide down into place. The catch tabs (C) snap into place.
Installation 4. Insert the Paper Guide Extension into the Paper Guide and snap its tabs into place. 5. Insert the Paper Stop onto the back of the scanner and slide it downward to snap its tabs into place. 6. Proceed to “Step 2: Install the Software”.
Installation Step 2: Install the Software The Installation CD includes all the necessary installation files, as well as the PaperPort software files and other software files. To install the software: 1. Start Microsoft Windows and make sure that no other applications are running. 2. Insert the installation CD into your computer’s CD-ROM drive. The CD automatically starts. NOTE: If the CD does not automatically start, check the following: • Make sure the CD drive’s door is completely shut.
Installation 4. Click in the boxes for Scansoft PaperPort and Scanner Driver. If you want to also install the other software, click their boxes as well. 5. Click Install Now. 6. On the PaperPort 9.0 Welcome window, click Next. Installing PaperPort 9.0 will uninstall any previous, existing version of PaperPort and install PaperPort 9.0 while retaining all of your PaperPort files. 7. On the License Agreement window, read the ScanSoft license agreement.
Installation 15. On the Xerox Scanner Registration window, complete the required information, and then click Register. Note that the serial number for your scanner is located on the side of the scanner body. Serial Number 16. When you see the Connect Scanner window, STOP. Do NOT click Finish. Leave the window open and proceed to the next section,“Step 3: Connect and Power On the Scanner”.
Installation Step 3: Connect and Power On the Scanner Connect the ADF cable, connect the scanner to a power source, and turn the power on. To connect the scanner and turn the power on: 1. Plug the ADF cable into the ADF port on the body of the scanner. 2. Plug the power supply into its power port on the scanner. 3. Plug the power cord into the power supply and then into a wall outlet.
Installation 4. Turn on the power switch, located on the back of the scanner to the right of the power port. The status light comes on and flashes indicating that the scanner is receiving power. Step 4: Connect the USB Cable Your DocuMate 520 scanner connects to any available USB port. Check your computer’s manual for the USB port locations. NOTE: You do not have to shut off the power to your computer when connecting the scanner to a USB port. 1. Plug the USB cable into the USB port on the scanner.
Installation NOTE: If you are using Windows XP and have plugged the USB cable into a USB 1.1 port, an information bubble opens explaining that “A HI-SPEED USB device is plugged into a non-HI-SPEED USB hub”. Plug the USB cable into a USB 2.0 port (if available) or disregard the message. Your computer recognizes that a scanner is plugged into the USB port and loads the appropriate software to run the scanner. 3. When the software is finished loading, return to the Connect Scanner window and click Finish.
Installation Check Out the Scanner After installing the scanner and software, you will see a scanner icon on the Windows taskbar (at the bottom right corner of the computer screen). If the scanner is properly connected, the scanner icon looks like the one pictured below. Scanner Icon If the Scanner Is Not Properly Connected If the scanner icon on the Windows taskbar has a red “X” through it, the scanner is not properly connected.
Installation To connect the scanner: 1. After checking for all the above problems, right-click the scanner icon with the red X over it. The shortcut menu appears. 2. Choose Connect from the shortcut menu. The software finds the scanner and makes the connection. The scanner icon will no longer have a red X through it, and you’re ready to begin scanning.
Scanning from Buttons Scanning from Buttons This chapter explains how to scan documents using the buttons on your DocuMate 520 scanner and the button panel on your computer screen. Loading Documents to Scan Your scanner can scan a stack of documents or a single item. To load a stack of documents in the Automatic Document Feeder: 1. Unfold the Paper Guide Extension and adjust the Paper Guide for the size of paper. You can also adjust the Paper Stop at the back of the scanner for the size of the paper.
Scanning from Buttons 2. Load the stack of documents face up, with their tops into the Automatic Document Feeder. IMPORTANT: Items scanned using the Automatic Document Feeder must be a minimum of 5 x 7 inches (12.7 x 17.8 cm). To load a single item: 1. Place the item on the scanner glass, face down. 2. Align the item with the arrow on the reference frame. 3. Close the cover.
Scanning from Buttons Scanning from the Buttons on the Scanner Pressing a scanner button scans the item and then sends the image to the printer or a software application on your computer. To scan by pressing a button on the scanner: 1. Load a stack of documents in the Automatic Document Feeder or place an item face-down on the glass. See “Loading Documents to Scan” on page 16 for details. 2. Close the document cover, and press a scanner button. The scanner starts scanning.
Scanning from Buttons About the Buttons on the Scanner The scanner buttons are preconfigured to scan items at various settings and then send the scanned image to a preselected destination software application. You can change the settings for each button. See “About the Configuration Dialog Box” on page 20.
Scanning from Buttons 2. Close the cover and click the scanner icon on the Windows taskbar. 3. On the scanner button panel, click one of the scan buttons. The scanner starts scanning the item. Messages about the scanning appear above the Windows taskbar and the progress window shows the image as it is scanned. When the scan is complete, the scanned image appears in the destination application.
Scanning from Buttons For example, the following figure shows the current settings for the Scan button because the Scan tab is selected. The Scan button will scan the item with the configuration named Scan Document (OCR Quality), and then open PaperPort to display the scanned image. The Format and Page(s) option is set to scan in the PaperPort file format using the automatic document feeder. Select a software application where to send the scanned image. Click to set preferences.
Scanning from Buttons Opening the Configuration Dialog Box You can open the Configuration dialog box from the scanner’s shortcut menu, or the Button Panel on the screen, or from the Windows Start menu. To open the Configuration dialog box from the shortcut menu: 1. Right-click the scanner icon. Scanner icon The shortcut menu appears. 2. Click Configure on the shortcut menu. The Configuration dialog box opens. Click the tab that corresponds to the button you want to configure.
Scanning from Buttons To open the Configuration dialog box from the Windows Start menu: 1. On the Windows taskbar, click Start, point to Programs, point to ScanSoft PaperPort 9.0, and then click DocuMate Configure. The Configuration dialog box opens. Click the tab that corresponds to the button you want to configure Configuration Dialog Box Options The options on the Configuration dialog box are: Select Destination—the list of applications that you can use to display the scanned image.
Scanning from Buttons Options—opens a dialog box for selecting options for the destination application for the scanned image. Each destination application has its own options dialog box. Selecting New Options for the Buttons Using the Configuration dialog box, you can select a new destination application, configuration, and image format for a scanner button to optimize it for the type of scanning you want to do. To select new options for a scanner button: 1.
Scanning from Buttons Creating New Configurations Each scanner button has preset configurations that you cannot change. These preset configurations are shown in the Select Configuration list on the Configuration dialog box. If you want to scan with settings other than those offered by the preset configurations, you must first create a new configuration and then use it to scan. Your new configuration is saved in the Select Configuration list so that you can use it again.
Scanning from Buttons 6. With the Scan Settings tab selected, set the scan settings for the new configuration. Mode—Select Black/White to scan in black and white. For example, letters and memos are usually scanned in black and white. Select Grayscale to scan items such as documents containing drawings or black and white photographs. The scanning produces an image in varying shades of gray. Select Color to scan color photographs and other color items.
Scanning from Buttons scans the item to compensate for the patterns and dots, and produces a clearer image. The scanning may slow down a bit when this option is selected. You don’t need to select this option when scanning photographs. The DeScreen setting does not apply to the Black/White mode. Gamma—Drag the slider to improve how the colors in a scanned image look on your monitor. Gamma correction allows you to achieve precise color matching.
Scanning from Buttons 4. In the Select Configuration list, click the configuration you want to edit. The selection must be a configuration you created. For example, the following figure shows a configuration named Special Scan for Dark Print (which you would have created earlier). 5. Click the Edit button. The Edit Scan Configuration dialog box opens. 6. Edit the scan and page settings (and device settings if you are editing a Copy/Print button configuration) and click OK. 7.
Scanning from Buttons Setting Preferences The preferences options apply to each button and to the scanner. To set preferences: 1. On the Configuration dialog box, select the tab for a button to set its preferences. 2. Click the Preferences tab on the Configuration dialog box. Preferences tab The Preferences dialog box opens. The dialog box shows which button you selected for new preferences. The name of the button to receive new preferences If the Button tab is not selected, click it.
Scanning from Buttons 3. Click the General tab to set preferences for the scanner. Show Status Window—Select this option to see the small window at the bottom right corner of the screen that shows the status of the scanning and other information as shown in this sample: Show Scanner Icon in Windows Taskbar—Select this option to see the small icon representing the scanner in the Windows taskbar.
Scanning from PaperPort Scanning from PaperPort Instead of using a scanner button, you can scan directly from the PaperPort software. This is particularly helpful when you are using PaperPort to file and save your scanned items. Your Scanner and the TWAIN Standard Your scanner uses the TWAIN standard for scanning. TWAIN is a widely recognized procedure that computers use to receive images from scanners, digital cameras, and other digital devices.
Scanning from PaperPort 2. Open the PaperPort software. On the Windows taskbar, click Start, point to Programs, point to ScanSoft PaperPort 9.0, and then click PaperPort. The PaperPort desktop opens. Scan icon 3. Click the Scan icon on the PaperPort command bar. The Folders pane (which shows folders for organizing your scanned images) is replaced by the Scan pane. Scan pane Click this Scan button to display the Scan Manager 4.
Scanning from PaperPort 6. Click Settings to view and change the format for the scanned item’s file name and the file type. The default file type for documents is .pdf and the default for photographs is .jpg. 7. Use the Single page items check box as follows: • When the check box is selected, pages are scanned and placed on the PaperPort desktop.
Scanning from PaperPort 12. When you are satisfied with the preview image, click Scan. If the Single page items check box is selected on the PaperPort desktop, the item appears as a thumbnail on the desktop. 13. If the Single page items check box is not selected, thumbnails do not appear until you indicate the scanning job is finished. • Close the Scan Manager. • On the PaperPort - Scan message box, click Done. NOTE: Refer to “The Single Page Items Check Box” on page 35.
Scanning from PaperPort The Single Page Items Check Box The Single page items check box provides the option to add additional items to a scanning job and scan double-sided items. If the check box is selected, scanned items immediately appear on the PaperPort desktop. If the check box is not selected (this is the default), the following message box appears when you close the Scan Manager. • Click Scan More Pages to scan additional pages and add them to the stack of items placed on the PaperPort desktop.
Scanning from PaperPort Adjusting the Image Type, Resolution, Brightness and Contrast The Scan Manager’s drop-down lists and sliders are used to adjust the image type, resolution, brightness, and contrast. Image Type Resolution Brightness Contrast File size Image Type From the Image Type drop-down list, select the appropriate image type for the item(s) you’re scanning. • Black and White—scans in black and white. The scanning pixels are all the same size and are either black or white.
Scanning from PaperPort • Enhanced bit-depths—If you are using an imaging application other than PaperPort, the image type drop-down list will include 16-Bit Grayscale and 48-Bit Color. These image types are only available if the imaging application supports them. You will receive an error message if the application does not support the selected enhanced bit-depth. NOTE: You can see the file size at the bottom of the Scan Manager.
Scanning from PaperPort Adjusting the Output Size The output size is the width and height of the image after it is scanned. For example, if you plan to print the image on a piece of paper you can select the output size of 8.5 by 11.0 inches. Preview Auto-Area Paper Size Units Ruler Units Output Dimensions Preview Auto-Area The item you’re scanning may not fill the scanner glass.
Scanning from PaperPort Paper Size If you know the size of the item(s) you’re scanning, set the paper size. This automatically sets the scan size to the paper size. • Click the Paper Size button and select the image’s paper size from the list. Units The ruler around the edges of the image area and the output dimensions can be displayed in inches, centimeters, or pixels. • Click the Units button to select the units for the ruler. Clicking the button toggles through the three choices.
Scanning from PaperPort To manually set an output area: 1. Put the mouse pointer on an edge of the scan area box so it becomes a resize pointer (two-headed arrow) and then drag to set a new size for the box. 2. To move the box, put the mouse pointer inside the box so the pointer becomes a four-headed arrow. Drag to move the box to a new position. 3. The output dimensions change to reflect the new scan area size. Now, when you scan, only the area inside the scan area box is scanned to the PaperPort desktop.
Scanning from PaperPort Manually Setting the Width and Length The output dimensions at the bottom of the Scan Manager show the Width and Length of the scan area. You can set the area by typing numbers into those boxes. To manually set the width and length: 1. Click in the Width or Length box and type a new dimension. The scan area box changes to reflect the new size. 2. To maintain the same width to length ratio, click the Lock Scaling icon next to the dimension.
Scanning from PaperPort • Click the Invert or Mirror button to see the image you want. Original Image Inverted Image Mirrored Image Adjusting Color and Gray Images The Scan Manager has three buttons—Descreen, Sharpen, and Auto Level—for adjusting color and gray images. These buttons are available when the 24-Bit Color or 8-bit Gray Image types are selected.
Scanning from PaperPort to compensate for the patterns and dots, and produces a clearer image. The scanning may slow down a bit when this option is selected. You don’t need to select this option when scanning photographs. Original Image Descreened Image To descreen an image: 1. Click the Descreen button. 2. Choose the appropriate option from the list. Watch the preview image as you select various options to see which one is best for your final scanned image.
Scanning from PaperPort 2. Choose the appropriate option from the list. Original Image Sharpened Image Auto Level Your scanner can analyze a color image to automatically determine the best settings to match the colors of the original image. Click this button to let the scanner automatically adjust the color settings.
Scanning from PaperPort Adjusting Color Settings The buttons for manually adjusting a preview image’s color settings offer several advanced color options. The availability of each option is dependent upon the selected Image Type for the image. Highlight/Shadow Levels Curves Color Balance Hue/Saturation/Lightness Color Drop-out Highlight/Shadow Levels Images have light and dark areas. The highlight is the lightest spot on an image; shadow is the darkest spot.
Scanning from PaperPort To adjust the highlight and shadow levels: 1. Click the Highlight/Shadow button. The dialog box that opens shows a histogram of the saturation, gamma, and hue (S, G, H) of the range of colors for the highlight and shadow. Saturation is the strength or purity of a color, gamma controls the brightness of the midtones of the color, and hue is the color your eyes see as reflected from the image.
Scanning from PaperPort Curves Like the Highlight/Shadow levels, the Curves feature also adjusts the range of midtone colors on an image. However, with the Curves feature you can set the gamma individually to adjust midtone levels without losing details from the lightest or darkest areas. To adjust the gamma curve: 1. Click the Curves button. The dialog box that opens shows a plot of the gamma. The gamma of the original image is represented by a straight line from the lower left to upper right corners.
Scanning from PaperPort Color Balance The color balance refers to the relative amounts of the three primary colors in an image. By adjusting the color balance you can sometimes compensate for an image with too much or too little of a color. To adjust the color balance: 1. Click the Color Balance button. The settings in the dialog box are initially set to zero for each of the colors, indicating no change to the original image’s color balance. 2.
Scanning from PaperPort To adjust the hue/saturation/lightness: 1. Click the Hue/Saturation/Lightness button. The settings in the dialog box are initially set to zero, indicating no change to the original image’s hue, saturation, or lightness. 2. Type a number in one or more of the color boxes to set a new level, or drag the triangles to the left or right. 3. Click Preview to see the effect of the new settings on the image. 4. Click Reset to reset the levels to their original values. 5.
Scanning from PaperPort Here are some examples of color drop-out: The original with black text on a blue background The original with a red watermark over black text The scanned item with the B Channel (Blue) dropped out The scanned item with the R Channel (Red) dropped out To drop the color out of a black and white, or grayscale image: 1. From the Image Type list, choose Black and White, Halftone, 8-Bit Gray, or 16-Bit Grayscale. 2. Click the Color Drop-out icon. 3.
Scanning from PaperPort Adjusting the Scanner’s Power Saving Time Your scanner has a built-in power saving feature that is set to power down after 45 minutes of idle time. You can change the time before the scanner powers down, from 15 to a maximum of 180 minutes. To adjust the power down time: 1. Right-click the small icon of a scanner on the top-left corner of the Scan Manager desktop and select Set Power Saving from the menu. 2.
Scanning from PaperPort 3. Click the Scan icon on the PaperPort command bar. The Folders pane is replaced by the Scan pane. Scan pane 4. From the Scanner drop-down list, select WIA-XEROX DocuMate 520. 5. In the “Scan what?” section, choose to scan a Document or Photograph. 6. Click Settings to view and change the format for the scanned item’s file name and the file type. The default file type for documents is .pdf and for photographs is .jpg. 7.
Scanning from PaperPort 8. Click the Scan button on the Scan pane. The scan window opens. Use this window to select scanning options and start the scanner. 9. From the Paper Source drop-down list, select Flatbed or Document Feeder (if you are going to use the ADF). If you selected Document Feeder, select a paper size from the Page size drop-down list. NOTE: If your computer is running Windows ME, the ADF can scan only one page at a time. 10. Click the button most appropriate for the item you’re scanning.
Scanning from PaperPort 13. Preview the image again. When you are satisfied with the image, click the Scan button. If the Single page items check box is selected on the Scan pane, the scanned item appears as a thumbnail on the PaperPort desktop. 14. If the Single page items check box is not selected, thumbnails do not appear until you indicate the scanning job is finished. • On the PaperPort - Scan message box, click Done. NOTE: Refer to “The Single Page Items Check Box” on page 35.
Scanning from PaperPort The Advanced Properties dialog box opens. 2. Select the options for scanning. Brightness and Contrast—Drag the sliders to the right or left to adjust the brightness and contrast of the scanned image. The Contrast setting does not apply to the setting Black and White picture or text. Resolution (DPI)—Click the up and down arrows to choose the dots per inch (dpi) of the resolution. The maximum resolution is 600 dpi; the minimum is 100 dpi.
Maintenance Maintenance This section covers information on maintenance, troubleshooting, uninstalling, scanner specifications, and spare parts. Clearing Paper Jams If your scanner stops scanning due to a paper jam in the Automatic Document Feeder, a warning opens after a few moments. To clear a paper jam: 1. Open the Automatic Document Feeder cover. 2. Remove the jammed paper and close the cover.
Maintenance Care and Maintenance Your scanner is designed to be maintenance-free. Occasional cleaning, however, can help ensure continual optimal performance. Cleaning the Scanner Glass Scanning items that have excessive amounts of dirt or dust may dirty the glass. To ensure the best quality scanned item, wipe the scanner glass with a soft clean cloth to rid the glass of dust or other debris.
Maintenance Replacing the ADF Pad Assembly The ADF pad spring may wear out and is designed to be a userreplaceable part. Problems with documents feeding into the ADF is an indication that the pad spring may be wearing out. You received a replacement pad in the original scanner box, and you can also order a new one. See the “Xerox DocuMate 520 Parts List” on page 64 for ordering information. To replace the ADF Pad assembly: 1. Open the ADF cover. 2.
Maintenance Troubleshooting In addition to the troubleshooting information contained in this section, please see the Readme file on your installation CD. The Readme file contains additional information that may help you diagnose problems with the scanner. If you try the troubleshooting procedures described in this section and in the Readme file, and the scanner still has problems, you may have a malfunctioning scanner.
Maintenance Problem: I got the error message: PaperPort cannot allocate enough memory to perform internal critical operations. What do I do? Close any other active applications so that additional memory is available. If you click Continue, PaperPort moves the file to the PaperPort data directory and renames the file with the prefix “bad.” This allows you to recover the file later. To recover the file, import it into PaperPort by using the Import command in the File menu.
Maintenance Problem: The status light is blinking. What does this mean? The status light indicates the current state of the scanner. Descriptions of the most common patterns are listed below. Contact Xerox Technical Support if you experience a different blinking pattern. • Blinking green: indicates the scanner is preparing to scan. • Blinking amber, 1 long + 6 short blinks: indicates a problem with the status light itself. Contact Xerox Technical support.
Maintenance 6. From the list of programs, select XEROX DocuMate 520. • Windows 98SE or ME: Click the Add/Remove button. • Windows 2000 or XP: Click the Change/Remove button. 7. Click OK when the message asks “Are you sure you want to completely remove XEROX DocuMate 520 and all its components.” 8. On the Maintenance Complete window, click Finish. The DocuMate software is removed from your computer. 9. Close all open windows and restart your computer.
