The dispatcher will type a brief description of the problem in the comment field and also put their initials in
that field to identify who took the service call.
Most machines are already assigned to the proper tech via the territories worked out by each team.
If a
tech is absent it is the dispatcher's responsibility to page the call out to the back-up person.
A call from the assigned technician will be made within i hour to confirm the location, problem and verify the
technician's arTival time (within 4 hours of the call being placed).
c) Placement of a "Preventative Maintenance" Service Call & Estimated Response Time
Pacific Office Automation believes that preventative maintenance (PM) is a key element in a successful
relationship between client and vendor. Each account POA manages requires a different maintenance program.
We individualize each of our preventative maintenance programs to guarantee maximum uptime performance.
Douglas County's preventative maintenance will be scheduled and performed as recommended by the
manufacturer, but not less than twice per year. PM's shall include, but not be limited to:
routine cleaning, lubrication, adjustments to the equipment, and
replacement of parts due to normal wear and tear and
replacement of unserviceable parts
Copier Toner Recycling Program
Both Sharp and Konica Minolta provide return address labels to participate in the toner recycling programs.
Upgrading or downgrading of individual copiers based upon the needs of the department/office

pricing shall remain the same throughout the term of the contract
Douglas County will be given an upgrade/downgrade calculation for a piece of equipment based upon the needs
of the department/office. See the following trade-in minimum values:
1-12 months = 60% Trade-In of Original Equipment Cost
13-24 months = 40% Trade-In of Original Equipment Cost
25 36 months = 20% Trade-In of Original Equipment Cost
37+ months = 10% Trade-In of Original Equipment Cost
Training of End-Users and Information Technology Staff.
POA has a Professional Services team that is prepared to provide all training necessary to the Information
Technology Staff regarding placing the devices on the network, the print drivers and other network related
features such as IDAP.
We have previously outlined the basic courses for training End-Users on copy, print and scanning functions. See
Section 6, Question 4 (c) and 4 (d).

Submission of Quarterly Copier Meter Readings.
POA would recommend the installation of FM Audit software. FM Audit provides efficient print assessment
capabilities, proactive support and automated meter readings for billing purposes. With the installation of FM
Audit entire printer fleets spread across multiple locations may be managed from a central portal. Thousands of
networked devices may be discovered and audited within minutes. A variety of data can be collected including
but not limited to the following:
