All vendors must be a factory-authorized dealer and filly-qualified to service their installed machines with
factory trained service technicians and inventory locally to adequately supply parts for the repair and
maintenance of the machines. List all key personnel, titles, and length of employment with your company.
POA is authorized to sell and service both the Sharp and Konica Minolta lines of multifunction copy and print
devices. POA also maintains a manufacturer certified training center to ensure all technicians are current and
fully trained for each new deployment. POA maintains over 67,500 square feet of dedicated warehouse storage
in Portland, Seattle and Phoenix. In addition satellite storage in the following cities, Denver, San Francisco, Salt
Lake City, and Albuquerque carry an average of $600,000 in equipment, parts and supply inventory each. We
offer the largest stock capacity of any document imaging company in the region.
Provide specific details, ideas, and suggestions for the following:
Proposed equipment for each copier listed in Exhibit A provide a separate sheet/document (this does
not mean a standard brochure is acceptable) for each copier proposed, listing all pricing and available
accessories. The document should address (at a minimum) all points referenced in Item F, Minimum
Technical Specifications.
Please refer to the appendix for the proposed equipment based on Exhibit A.
Implementation strategy and timeline
all deliveries will be scheduled by building and then by
floor/department, as to minimize the disruption to all staff and citizens at each location.
POA is prepared and experienced to ensure a smooth transition and implementation of a contract of this scope.
We are confident that POA has the ability to meet the needs of the County with respect to contractual flexibility
and excellent service. A smooth transition from one vendor to another or even from one piece of equipment to
another is a key element to maintain productivity and end-user satisfaction.
Following award of the contract
POA will meet with Douglas County Purchasing Department to discuss the details of the scope of work,
equipment rollout, and installation strategy and finalize contract negotiations. Following that meeting a specific
timeline for Phase I with expected delivery dates will be established for the replacement of the copiers at each
location, by building, floor and department.
POA'S INSTALLATION PROGRAM
POA has an Installation Program that covers site reviews prior to installation to evaluate the site for delivery and
space/electrical requirements. Concurrent with this process, equipment is ordered from the warehouse, setup,
tested and prepared for delivery. The devices will be pre-loaded with all network information as desired by the
tounty.
The Account Manager, Barry Rogers and Douglas County personnel then coordinate the exact delivery date and
am/pm preference. A follow-up call will be placed to Douglas County verifying the delivery date one week prior
to delivery. One day prior to delivery a morning or afternoon delivery will be established and verified with the
County and each site.
