work directly with your team involved with accepting invoices, to make sure that they are accurately presented
in the most favorable format to Douglas County.
This process would begin with our local administrative support team meeting with the Douglas County and
providing multiple sample layouts of different types of invoices. These are purely examples, as the final product
is entirely up to Douglas County. It is even possible to have an invoice formatted as .xls or .csv emailed to
Douglas County for immediate upload into the districts payment system. We provide tools to ensure that it's
easy to do busine9s with us. At any time Douglas County will be able to:
Review the details of their current lease and service agreements.
Track leased equipment and locations
View invoices and payment histories
Customize their invoices
o
Allocate charges to schools
o personalize descriptions
o Sort and subtotal costs
Make payments online
Receive e-mail notifications when invoices are available
Upon the expiration or termination of any agreement, all hard-drives will be removed by the vendor and
retained by Douglas County at no additional expense to the County.
POA will provide our HDD Disk Sanitization Process at no additional charge to Douglas County upon termination
of any agreement resulting from this RFP. We will remove, sanitize and return the HDD to Douglas County and
provide certification documentation.
All personnel performing services under this Agreement will perform in a professional manner and will
comply with all of the County's applicable security and safety regulations. The County agrees to provide
copies of any policies related to security and safety regulations. Should the County be dissatisfied with the
performance of any vendor personnel, the County will provide written notification to the vendor of the
specific non-performance.
POA's personnel will ompIy with the County's security and safety regulations.
This REP requires access to multiple areas within the County and potential access to privileged County
information.
As such, the
successful vendor and associated personnel must pass a Federal
Fingerprint/Background check prior to the start of work and access to County facilities.
The
fingerprint/background checks will be completed by Douglas County. Douglas County reserves the right to
deny access to any employee on County property, who is identified as a potential threat to the health,
safety, security, general well-being, or operational mission of the County and/or its population. Should
access be denied, the successful vendor will replace the employee with a suitable substitute, as approved by
the County.
POA will comply with the requirement for Douglas County to complete a Federal Fingerprint/Background check
prior to work and access at County facilities. All POA employees pass a background check prior to employment
with POA.
If any employee is deemed by Douglas County as a potential threat to the County and/or its
population, that employee will be removed and replaced witfl an approved substitute.
