K Minimum Requirements:
Vendors, which respond to this RFP, must meet all of the following minimum requirements:
Provide adequately trained personnel to perform the copier repair/maintenance services pursuant to any
agreement resulting from this RFP.
With over 37 years of experience in technology, POA has the technical staff, administrative staff and
infrastructure to support the Douglas County requirements. Our technical and engineering staff average 20
years of experience and are authorized to service the proposed equipment manufacturers. They have industry
recognized certifications such as MCSE, CCNA, A+, CDIA+ and others. POA's dedicated color and production
service teams specialize in the demanding color applications and high production environments.
Pacific encompasses a network of trained staff that has been recognized time and again as one of the leading
techniall training facilities in the nation for copiers and facsimile machines. To ensure long term reliability, our
team of certified network and service technicians work directly with the IT staff to streamline the service
process. All technicians are manufacturer trained and certified on all equipment. To guarantee this, we have
invested in an on-site training facility consisting of several certified trainers.
Provide NEW multi-functional equipment (copiers and accessories). NEW equipment is defmed as units
that have been assembled for the first time, with all new parts and accessories. New equipment shall be
delivered with no more than one-thousand (1000) testlset-up copies on the meter. Responses that offer
copiers that are used, reconditioned, remanufactured, remarketed, etc. will be rejected.
POA is offering NEW multi-functional equipment, assembled for the first time with all new parts and
accessories.
Pricing shall include all delivery, set-up, supplies, training, and network/scanning set-up assistance with the
Douglas County Information Technology Department.
In addition, all copiers will be delivered with an
additional black toner cartridge and color toner cartridges, as applicable.
The quoted prices include all delivery, set-up, supplies, training and network/scanning set-up assistance. One
set of additional toner will be delivered with each device.
At the vendor's sole expense, they will install all copiers that are a result of this RFP. Upon the expiration
or termination of any agreement, the vendor shall remove said copiers at its sole expense.
In addition, if
any copier(s) would need to be relocated for any reason, the vendor will also provide that service at no
expense to the County.
POA will comply with this requirement.
Participate in hi-annual account reviews with Purchasing Division staff
POA recommends regular account reviews to discuss any equipment portfolio changes (upgrades/movements
etc), service level performance, compliance with service level benchmarks, invoicing and any other issues that
arise.
Provide one (1) quarterly invoice, billed in arrears, for machines and actual copies made. Standard fiscal
quarters apply
March, June, September, and December.
