2 Installation INSTALLATION This chapter explains the correct installation of your fax machine. The correct location 30 cm Your fax should be positioned near the telephone socket and near a mains socket. The fax machine must stand securely and stably on a smooth, flat, horizontal surface (no underlays such as carpets etc.). Avoid exposure to direct sunlight (the ink film is heat-sensitive) and close proximity with heaters, radio and TV sets, air conditioning systems, dust, water and chemicals.
Connecting the fax machine Connecting to the telephone socket Turn the machine bottom up. Connect the telephone cable to the fax machine by inserting it in the socket on the bottom of the machine identified with LINE. Insert the cable in the groove provided. Then insert the telephone plug into the line socket. In the UK: For all other countries: Connecting the spiral cable to the handset Connecting the handset to the fax machine Plug one end of the spiral cable into the handset.
Connecting to the power supply Plug the power connector into the back of the fax machine. Plug the mains cable into the wall socket. The machine will carry out an internal test. Replacing the ink film The ink film supplied with your fax machine has a protective strip that must be removed before you load it. You cannot receive or copy documents unless an ink film is loaded in the fax machine. If the ink film is finished or if there is no ink film in the fax machine, the CHECK DISPLAY light flashes, and the following message appears: refill inkfilm CHECK DISPLAY Before loading a new ink film you must remove the paper from the paper feed mechanism.
Loading the new ink film 2 5 1. Carefully remove the fixing strips from the new ink film. The ink film must not be damaged. 2. Hold the ink film so that the large roll is underneath and the blue gear wheel of the small roll is on the right. Lay the ink film in the rear ink film compartment by pressing the right-hand blue end of the large roll against the blue spring shaft. 3. Then fit the left-hand black end of the large roll on to the left-hand shaft. 6.
Loading and removing paper Loading paper Before you can receive or copy documents, paper must be loaded in your fax machine. Please use only the following paper format: standard A4, 210 x 297 mm. The fax machine works with normal paper used for writing and copying and has been optimised for smooth 80 g/m2 paper. The smoother the paper surface the better the print quality of your fax machine.
Open the operation panel and the ink film cover. Leave the paper refill flap closed, so that the paper is easier to remove. Pull the paper carefully outwards from the inside. Before closing the ink film cover, the ink film roll must be tensioned by turning the gearwheel of the front ink film roll forwards. Do not pull the paper out from the top of the machine because doing so can tear the paper and disrupt the functionality of the fax machine.
To separate sockets (not in all countries) You can connect additional devices to separate sockets on the same line even if they are in different rooms. Make sure that the fax machine is the first device connected. Please note: If you connect additional devices to separate sockets (e.g. in separate rooms) your active fax switch cannot control them (which means that your fax machine behaves like any ordinary fax machine). For this reason e.g. call transfer is not possible.

FAX 4 The fax switch The intelligent fax switch enables you to phone or fax from the same telephone connection. This smart fax switch also enables you to make optimal use of additional devices. Alternatives available with the fax switch—DAY/NIGHT/TIMER Your fax machine behaves differently during the day and night. For example, in DAY mode, you may wish to be informed whenever you receive a telephone call or fax, and so the fax machine will ring.
Parallel configuration A PARALLEL configuration does not permit the full functionality of the intelligent fax switch. With a PARALLEL connection, each call arrives simultaneously at your fax machine and each additional telephone. Consequently, your fax machine is now unable to control the additional telephones. Also, calls cannot be transferred between your fax machine and another parallel telephone.
DAY mode In DAY mode you can set how your fax machine should respond when it receives a fax. For units with built-in answering device, this can be switched on and off using this function. In TIMER mode your fax machine automatically switches from DAY mode to NIGHT mode and vice versa. If you only want to use your fax machine in DAY mode (TIMER mode deactivated) press the DAY/NIGHT/TIMER key for at least 2 seconds until you hear a confirmation tone and the TIMER pointer disappears.

NIGHT mode—for fax machine WITH built-in answering device In NIGHT mode you can set the ringing characteristics of your answering device. Fax reception is always silent and the answering device is always activated in this mode. In TIMER mode your fax machine automatically switches from NIGHT mode to DAY mode and vice versa.
5 The telephone The R key allows you to use various services offered by the telephone service provider (call waiting, toggling calls, etc.). Lift the handset. The fax machine will dial. During the call, the call duration appears on the display after about 10 seconds.

Muting the microphone During the phone call you can mute your microphone in order to speak to someone in the same room without being heard at the other end of the line. Press the MUTE/CALL TRANSFER key. Your microphone will be muted and the person at the other end of the line will not be able to hear you. When you wish to continue the phone call press the MUTE/ CALL TRANSFER key again. Call transfer You can transfer an existing phone call from your fax machine to an additional telephone and vice versa.
FAX 6 The fax This chapter explains all fax functions provided. Sending faxes Which documents to use In order to avoid transmission errors you must use good quality, legible originals. Therefore, keep to the following guidelines: single letters: several letters: width: length: thickness: width: length: thickness: 148 - 217 mm 100 - 600 mm 0.05 - 0.2 mm 148 - 217 mm 148 - 297 mm 0.08 - 0.12 mm Write clearly and legibly. Only use pens with dark ink (black/dark-blue, not yellow/orange/light green).
Take your documents (max. 10 pages) and insert them loosely with the printed side up in the document feed slot until you notice a tangible resistance. Then leave them. Push the document width adapter against the pages of your document(s), so that it guides them precisely without jamming them. The top page will then be taken automatically by the feeding mechanism and drawn in slightly. Do not push this page further in, because otherwise several pages will be drawn in together when sending or copying.
Improving the picture quality Your fax machine normally operates with standard resolution. If you want to transmit detailed drawings or documents with very small print, use the FINE setting. If you want to fax a photograph, select the PHOTO setting. The original will be sent as black and white illustration in grey scales. If you want to increase the resolution press the FINE/PHOTO key as often as needed until the desired pointer lights up.
Faxing to sub-addresses If you want to send faxes to fax databases or if you want to poll from these, some databases have a sub-address which you can add to the telephone number. This will save you money in telephone charges. First enter the telephone number of the database and then press the R key. Then enter the required sub-address. If you are not sure whether your fax polling service supports sub-addresses, please contact your polling service operator.

Please note that you can still make telephone calls while this function is activated.
Changing the transmission speed Your fax machine automatically adjusts its transmission speed to the quality of the telephone line. If the line quality is poor, the automatic adjustment will take more time. In case that the poor line quality is already known it is useful to set the machine at a slower speed from the very beginning. This will save time and money. 7 The answering device (only for fax machines with built-in answering device) Your fax machine is equipped with a digital telephone answering device. All recorded messages are stored in a solid-state electronic memory which has a recording capacity of about 15 minutes. There is neither a magnetic tape nor a cassette. Switching on/off the answering device Your answering device is factory-programmed with a recorded outgoing message and is already activated in both function 31 and function 32.
Press the RECORD key again. RECORD Wait until you hear the confirmation tone. Now start to record your message. Position yourself about 20 cm from the fax machine. Speak slowly and clearly and avoid long gaps in the message. A black bar will move across the display to indicate how much memory is available for the outgoing message. When it has moved right across the display, the device will switch itself off, in which case you can omit the next step.
Listening to messages PLAY/PAUSE After the first message has been recorded, the PLAY/PAUSE key will start to flash. The display will indicate the number of messages recorded. MESSAGES: FINE PHOTO 4 DMM Press the PLAY/PAUSE key. The first new message will be played back. The date and time the message was received will be shown on the display. 1 15/05 12:30 If you want to interrupt this message press the PLAY/PAUSE key. When you want to continue with the messages, press the PLAY/ PAUSE key again.
Press CLEAR again to confirm. You will hear a confirmation tone and the display will indicate that the message has been deleted. CLEAR DELETED You can delete all messages at once provided that you have already listened to them. Press the CLEAR key. To interrupt the deleting process press the STOP key. CLEAR DELETE ALL MSGS? DELETED Press the CLEAR key again and all messages will be deleted.
Press the STOP key when you have finished. The forwarding message will be played back. STOP The fax machine is now switched to stand-by mode. ForWarD MSG. 12s 15-MAY-00 12:30 Forwarding * If a forwarding message has already been recorded: OK REC. MESSAGE:YES Press the OK key. FUNCTION Select with the CURSOR RIGHT or CURSOR LEFT key. Recording Memos The memo function offers the applications “external memo” and “internal memo”. COMPLETE MEMO Internal Memos can be played back and deleted just like normal messages.
You can now enter more commands or you can replace the receiver to end remote access. Below you will find a table showing all functions which can be carried out remotely. Make a note of your code by incorporating it in a longer number, for example, so that it cannot be recognised by other people. If you wish to change your code, repeat the above procedure and enter a new code. To switch the remote access function off again, enter 0000 as 4 digit code.
8 Additional functions This chapter explains additional possibilities and functions of your fax machine. Copying You can use your fax machine to make copies of an original. When copying your fax machine switches automatically to resolution FINE. You may also choose PHOTO resolution when copying photographs or for an even finer definition. Hold your documents face up. The documents must rest against the document width adapters.

Fax reception: EXPERT As already described in chapter 4 The fax switch, several standard fax reception modes are available. Your fax machine is optimally set when you select one of these modes. Nevertheless, in EXPERT mode you can set the ringing parameters of your fax machine and other devices yourself: You are able to set the total number of rings enabling you to control how many times your fax machine and additional phones ring when receiving an incoming telephone call.
9 Troubleshooting The following table contains an overview of the most frequent operating errors or problems and their possible causes and remedies. Before calling our service desk, please consult this table which has been compiled by our service engineers. In most cases you will be able to solve the problem on your own. If you cannot rectify a fault using the instructions provided, please disconnect from the mains. Wait at least ten seconds and reconnect.

Service code Function 45 Service code is used to delete some or all of your changes to the factory settings. This function enables you to partially or fully reconfigure your device. It is especially helpful if you have modified settings but find that your fax machine does not respond as expected. Only use this function when absolutely necessary. If you are satisfied with your changes to the factory settings you should not use this function.
Care and maintenance instructions The scanner glass and rollers of your fax machine should be cleaned of paper dust and scuff when necessary. Before opening the fax machine, make sure that you are electrically discharged by e.g. touching the metal housing of a grounded appliance, a water pipe or radiator. Use a soft, fluff-free cloth lightly moistened with a little alcohol (96%). You can also use a special cloth for cleaning fax machines, which is available on the market.
