Welcome Welcome to ImageAXS, and thank you for using this software! About ImageAXS and ImageAXS Professional ImageAXS is an easy-to-use visual database that creates thumbnail snapshots of your images (and other media) and keeps track of where the media are stored. ImageAXS Professional has all the features of ImageAXS, plus more powerful, professional-level capabilities, such as being able to publish HTML pages and distribute electronic catalogs.

Insert the ImageAXS CD-ROM into your CD-ROM drive. 2. Locate your CD-ROM drive in Windows Explorer. 3. Double-click the setup.exe file at the top-level of the CD-ROM. 4. Select the language you want to install when you are prompted. 5. Follow the instructions that appear on the screen.
Starting ImageAXS Starting ImageAXS There are four ways to start ImageAXS: • Double-click the ImageAXS (or ImageAXS Pro) program icon in Windows Explorer. • Click Start in the Windows taskbar and choose Programs!Caere Applications!ImageAXS (or ImageAXS Pro). • Double-click an ImageAXS collection file. • Drag an ImageAXS collection file onto the ImageAXS (or ImageAXS Pro) program icon.
Opening the sample collection To open the sample collection: 1. Choose Open from the File menu (CTRL + O). 2. Locate the sample collection (Sample.iax) in the Samples folder within the folder where you installed ImageAXS. 3. Select Sample.iax and click Open. The sample collection opens. Note If you did not install ImageAXS in the default folder location, an “X” appears over each thumbnail icon. This indicates that the sample source files cannot be found.

Chapter 2 ImageAXS Basics Chapter Topics Collections Records Views Toolbars Status Bar Thumbnail icons File information Collections Collections are the data files created and read by ImageAXS. Each is composed of individual records and pointers to the source files associated with them. You can create and open as many collections as you like. Note When you start ImageAXS, it will automatically display any collections and portfolios that were open when you closed the previous session.
Records Records Each collection or portfolio you create is made up of individual records. A record contains information about a source file. When creating a record, you will usually select a source file and acquire it for the record. Each record contains a thumbnail, file information, fields with descriptive data, and keywords. Views ImageAXS provides a number of different ways to look at the records in your collections and portfolios. These are called views.
Toolbars Toolbars As a default, the Toolbars appear across the top of the application window, below the Menu bar. The Toolbars provide quick mouse access to common commands used in ImageAXS, as well as buttons for opening the Portfolios dialog box and for acquiring source files. To hide or show the Toolbars, select the Toolbar submenu from the View menu. A check mark appears next to each toolbar that is visible; select a particular toolbar to turn it on or off.
Toolbars Go to Caere Web Site Opens your Web browser and goes to www.caere.com. Language Displays the Language dialog box. Help Opens the ImageAXS Help file. Edit toolbar Cut Cuts selected text from the Info Sheet View to the Clipboard. Copy Copies selected text from the Info Sheet View to the Clipboard. Paste Pastes cut or copied text from the Clipboard. View toolbar Thumbnails View Displays the records in the active window in the Thumbnails View.
Toolbars Keywords View Displays the records in the active window in the Keywords View. Source File View Displays the records in the active window in the Source File View. Record toolbar Acquire Source Files Opens the Acquire Files dialog box. Save Fields Saves changes you have made to the current record (Info Sheet View only). New Record Creates a blank record (i.e., a record without a source file). Delete Record Removes records from a collection.
Toolbars Last Navigates to the last record or window of records in the active view. Copy Source File Copies selected source files to another location on your hard drive or network. Move Source File Moves source files from one place to another on your hard drive or network. Delete Source File Removes source files from your hard drive or network. Search toolbar Keyword Search Opens the Keyword Search dialog box. Search Opens the Search dialog box. Sort Opens the Sort dialog box.
Toolbars Zoom Out Activates the Zoom Out tool. Scroll Activates the Scroll tool. Best Fit Activates the Best Fit tool. Crop rectangle Activates the Crop tool so you can select the area you want to crop. 0 Degrees Rotates an image back to its original orientation. 90 Degrees Rotates an image clockwise 90 degrees. 180 Degrees Rotates an image clockwise 180 degrees. 270 Degrees Rotates an image clockwise 270 degrees.
Status Bar Less Brightness Decreases the brightness level in the image being viewed. More Gamma Increases the gamma level in the image being viewed. Less Gamma Decreases the gamma level in the image being viewed. Invert Image Colors Inverts the intensity of the red, green, and blue components of each color, producing a negative of the original image. Status Bar The Status Bar appears at the bottom of the application window.
Thumbnail icons Thumbnail icons Image Thumbnail icon Movie Thumbnail icon Audio Thumbnail icon In the Thumbnails View, an icon appears under the thumbnail of each record. The Thumbnail icon indicates the type of the source file and whether or not the source file for that record is online. The terms online and offline refer to whether ImageAXS is able to locate the source file for a record. In the Thumbnails View, if a Thumbnail icon has an “X” through it, the source file for that record is offline.
File information The File Information dialog box provides the following information about the source file: Name File name. Type File type. Size File size on disk (in bytes). Width Image or movie file width in pixels. Height Image or movie file height in pixels. Modified Last modification date. Volume The name of the file’s storage volume. Location The file’s path name.

Creating a new collection Creating a new collection To create a new collection: 1. Choose New Collection from the File menu. The Create Collection dialog box appears. 2. Enter a name and location for the new collection to be saved. 3. Click Save. If you have the regular version of ImageAXS, a blank collection opens in ImageAXS 2.x format. Each record contains 7 text fields with up to 80 characters per field.
Creating a new collection • • • • 5. Compact Each record contains eight text fields (of up to 128 characters each), two number fields, and two date fields. Professional Each record contains sixteen text fields (up to 256 characters each), four number fields, and four date fields. Custom Custom collections let you create and name more than 100 fields for your records. Select this button and click OK to open the Custom Collection Definition dialog box.

This allows you to define more than 100 fields for the records in your custom collection. To define fields in the Custom Collection Definition dialog box: 20 1. Enter a name for a field (up to 32 characters, with no spaces or punctuation) in the Field Name box. 2.
Defining fields for a custom collection (Professional version only) • • • • 3. Text Holds up to 255 characters (enter a number in the Length text box). Numeric Useful for assigning numbers to each record for organization and sorting purposes, or other numeric information. Date/Time Will be filled automatically using the date and time information from your system. Boolean Holds binary (such as true/false or yes/no) data.
Opening an existing collection Opening an existing collection The standard version of ImageAXS can have one collection open at a time. If you open another collection, the current collection closes automatically. ImageAXS Professional can have many collections open at once. To open an existing collection: 22 1. Choose Open Collection (Ctrl + O) from the File menu. 2. Locate and select the collection you want to open. 3. Click Open.

Field labels can be modified any time after a collection has been created. To assign field labels: Note Collections 1. Open a collection. 2. Choose Field Labels from the Tools menu. 3. Select the field label you want to change and type in a new one. 4.
Selecting preferences for your collection you are viewing large thumbnails. Fewer characters appear if you are viewing medium or small thumbnails. 5. In the Long Text Label box, type your long text field label. 6. (Professional version only) Select the Hidden check box for fields you do not want to appear in the Text List View, Info Sheet View, printed reports, or search/sort dialogs. 7. Click OK to save the changes you have made.
Selecting preferences for your collection • Dark Background Select thisif you want the background color to be dark gray. Deselect this if you want the background color to be light gray. • Maximum number of views You can determine the maximum number of Source File, Info Sheet, and Keyword Views ImageAXS displays simultaneously. Enter the numbers you want. • Scalable Font Select this to scale the font to fit the window, becoming smaller or larger depending on how the window is resized.
Selecting preferences for your collection Behavior These system settings allow you to configure the way key features of ImageAXS work. • Multiple Records May Be Opened Simultaneously Select this to allow multiple Info Sheet Views to be opened. • Search and Sort by Hidden Fields (Professional version only) Select this to allow hidden fields to be used in searching and sorting collections. • Slide Show Delay Select the amount of time that each slide is displayed before the next slide appears.
Selecting preferences for your collection • Confirm Detach Keyword Select this to have ImageAXS ask you to confirm detachment of a keyword from a record. • Watch for Multiuser changes Select this to have ImageAXS warn you, in a multiuser environment, of any changes made by other users that may conflict with your work. • Show Warnings Select this to have ImageAXS display warnings under various circumstances where your actions conflict with other preference settings.
Creating records Data Source (Professional version only) Because ImageAXS is an Open Database Connectivity (ODBC) compliant application, it can access data from a variety of sources, such as Microsoft’s SQL Server and Access databases. The data source can be on your computer or accessed via a network. Select a data source from the drop-down list in the Data Source Name field. Type its configuration string in the Data Source Configuration String field, and select the Enable check box to enable the string.
Creating records To acquire source files: 1. Choose Acquire Source File from the Source File menu. The Acquire Files dialog box appears. Note You can also select the files you want to acquire from Windows Explorer and drag them into an open collection. The Acquire Files dialog box opens with the selected files listed in the Acquire Log. 2. Note Locate the folder containing your source files.
Creating records 4. Click Add to add the files you have selected to the Acquire Log at the bottom of the dialog box. When adding multiple files, you may want to select the Filter Duplicates check box to prevent ImageAXS from acquiring the same file more than once. 5. If you also want to acquire files from another folder, repeat steps 2 through 4. 6. When the Acquire Log contains all of the files that you want to acquire, click Acquire.
Viewing and editing collection information To select a movie thumbnail: 1. Use the controls in the movie player window to navigate to the frame you want. 2. Click OK. Viewing and editing collection information You can enter and view general information about your collection in the Collection Information dialog box. To open the Collection Information dialog box, choose Collection Info from the File menu.
Closing a collection Closing a collection To close a collection, choose Close Collection from the File menu (Alt+F, C). Any open windows or portfolios associated with the collection close. Any changes are saved. You can also close a collection by closing all of its open windows.

A portfolio is a subset of a collection. Placing records in a portfolio does not duplicate the records or remove them from the collection.
Overview You can create many portfolios from a single collection. Records can be included in more than one portfolio. A portfolio window functions exactly like a collection window, except that the records in a portfolio window are saved in the order in which you place them. Changes made to the records in the portfolio window are automatically reflected in the collection window, with one exception: removing a record from a portfolio does not remove it from the collection window.
Creating a new portfolio Creating a new portfolio To create a new portfolio: 1. Choose Portfolios from the Record menu. (Alt+R, P) 2. Click New. 3. Enter a name for the portfolio. If you want the current selection in your collection copied into the new portfolio, select the Copy Current Selection into Portfolio check box. 4. Click OK. Your new portfolio appears in the list in the Portfolios dialog box. To display the new portfolio, select it and click Open.

Adding records to a portfolio Adding records to a portfolio To add records to a portfolio using the Portfolios dialog box: 1. Select the records that you want to add to the portfolio and choose Add to Portfolio from the Record menu. The Portfolios dialog box appears with an Add To button. 2. Choose a portfolio from the list and click Add To.
Removing records from a portfolio Removing records from a portfolio Removing a record from a portfolio does not affect the collection it is associated with or any other portfolios. To remove records from a portfolio: Note 1. Select the records that you want to remove from the portfolio. 2. Choose Delete Record from the Record menu (or Delete key). 3. Click Yes in the confirmation dialog box.

Thumbnails View The Thumbnails and Text List Views display multiple records. The Info Sheet, Keywords, and Source File Views display one record at a time. Thumbnails View The Thumbnails View is the default visual display, featuring thumbnails of every record in a collection or portfolio. When you double-click a thumbnail, its source file is displayed or played in Source File View. When you double-click the thumbnail caption, the record is displayed in the Info Sheet View.
Text List View • Navigation buttons on the Toolbar • HOME, PAGE UP , PAGE DOWN, and END buttons on your keyboard work like the scrollbar, moving the view page. • Your keyboard ARROW KEYS move the cursor and autoscroll the Thumbnails View window. Text List View The Text List View displays the text data from the collection or portfolio. The information is displayed in rows and columns; one row for each record and one column for each data field.
Text List View • HOME, PAGE UP , PAGE DOWN, and END buttons on your keyboard work like the scrollbar, moving the view page. • Your keyboard ARROW KEYS move the cursor and autoscroll the list. To select the data to be displayed in a column: 1. Click the arrow at the top of the column. 2. Select the data that you want to be displayed in that column from the drop-down list. A drop-down list appears when you click the arrow above a column. To resize a column: 1.
Info Sheet View Info Sheet View The Info Sheet View displays the thumbnail, field information, and keywords for each record. This is the main data entry interface for ImageAXS.
Info Sheet View To delete a keyword from a record, select it and press the DELETE key. The keyword remains in the Master Keywords list, and its association with other records is not affected. Saving a Record Any changes you make to a record in the Info Sheet View are automatically saved when you switch views or move to another record. To save manually, choose Save Record from the Record menu or click the Save button.
Keywords View Keywords View Keywords are descriptive words that you can link to records to facilitate searching in ImageAXS. The Keywords View displays the master list of keywords in a collection along with a selected record’s thumbnail and keywords. The Master Keywords list contains all of the keywords in the collection. A keyword must be in the Master Keywords list before you can attach the keyword to a record. Thumbnail for the current record. Keywords that are attached to the current record.
Source File View Navigating in Keyword View The Keywords View can be navigated using the following commands and buttons: • First Record, Previous Record, Next Record, and Last Record commands in the Record menu • Navigation buttons on the Toolbar Source File View The Source File View displays image and movie source files and plays audio source files. The Source File View is opened when you double-click a thumbnail in any view.
Source File View Navigating in Source File View Any number of source files can be opened in Source File View. You can limit the number of source files that can be opened simultaneously in your ImageAXS preferences. To divide the application window among multiple open source files, use the Tile Full Views command from the View menu. Zooming in and out You can change the ratio at which the source image is displayed by zooming in or out on the image.
Source File View • Best Fit This command automatically scales the Source File View window and the source file it contains so that the image appears exactly within the window at its current size. Playing audio source files Audio files that are opened in Source File View can be played using the audio slider controls that appear in this view.
Source File View toolbar options Source File View toolbar options In the Source File View, you can use the commands in the Zoom and Image toolbars to adjust the display of your image source files. Note Changes made to Source File View displays do not affect the actual source file. To make permanent changes to a source file, use an image editor such as Adobe Photoshop, then update the ImageAXS record to reflect your changes. See “Updating records” on page 64.
Source File View toolbar options Cropping an image The Crop Image button allows you to select part of an image in Source File View and copy it to the Clipboard. After clicking the button, select the area of the image you want to copy and choose Copy from the Edit menu (CTRL+C). Note Changes you make using Image Rotation tools and Image toolbar buttons are not saved when you close the Source File View.
Slide Shows Adjusting gamma levels Use the gamma buttons to increase or decrease the gamma level (relative changes in brightness across midtones) in the image being viewed. Inverting image colors Use the Invert Image Colors button to invert the intensity of the red, green, and blue components of each color. This produces a negative of the original image. Slide Shows A slide show is a way to display a series of records in your collection in a separate screen. To begin a slide show: 1.
Slide Shows Note You can select preferences for slide shows in the Behavior tab of the System Settings dialog box. For example, you can select Continuous Slide Show Loop if you want the slide show to keep running until you manually stop it. You can stop a slide show by pressing the Spacebar or Esc key or by clicking the Exit slide show button.

Selecting records Selecting records There are three ways to select groups of records: • To select consecutive records, click the first record you want and press the Shift key as you click the last record. • To select non-consecutive records, press the Ctrl key as you click each record. • To select several non-consecutive groups of records, combine the two methods described above. Other selection options: Note • To deselect an individual record, press the Ctrl key while clicking it.
Creating blank records Creating blank records You may want to create blank records in order to enter data before the corresponding images are available. To create a blank record, choose New Record from the Record menu (Ctrl + N). When you are ready to acquire a source file for the blank record, use the Update Path command. Copying and pasting records Instead of having to enter the same data time after time, you can use the Copy Record and Paste Record commands located in the Edit menu.
Copying and pasting records • • • Note 58 Over Selection (Alt+E, R, V) All field data in the selected target records is overwritten with the contents of the corresponding fields from the copied record, even if the copied fields are empty. Merge Fields with Selection (Alt+E, R, E) Only empty fields in the selected target record(s) are overwritten with the contents of the corresponding fields in the copied record. Fields with content are not overwritten.
Dragging and dropping records between collections (Professional version only) Dragging and dropping records between collections (Professional version only) If you have the ImageAXS Professional version, you can drag and drop records from one collection to another to copy all record information (data, keywords, source file information, and thumbnails). To drag and drop records: 1. Select the records you want to copy. 2. Drag the selection onto the window of the desired collection.
Copying source files Copying source files You can copy selected files to another location from within ImageAXS. To copy source files: 1. Note Select the records whose source files you want to copy. You will not be able to copy any files that are offline. 2. Choose Copy Source File from the Source File menu (Alt+O, C). 3. Select the folder where you want to copy the selected source files.
Moving source files Moving source files ImageAXS allows you to move source files from one place to another on your hard drive or network. You should always move source files from inside ImageAXS. If you move files from outside the application, they will become offline, and you will need to update their paths when you return to using ImageAXS. To move source files: 1. Select the records of the source files you want to move. 2. Choose Move Source File from the Source File menu. 3.
Deleting source files Deleting source files When you delete source files from within ImageAXS, they are permanently removed from your hard drive. However, the records they were associated with remain in your collection. To delete source files: 1. Select the records whose source files you want to delete. 2. Choose Delete Source File from the Source File menu. 3. Click the Yes in the warning dialog box.
Orienting thumbnails and image source files Orienting thumbnails and image source files Images captured by digital cameras or digitized onto PhotoCDs are typically stored only in landscape (horizontal) orientation. When the orientation of a source file is incorrect, the thumbnail in ImageAXS will also be incorrect. ImageAXS allows you to orient the thumbnail for ease of viewing. Thumbnails can be displayed at 0, 90, 180, or 270 degrees (clockwise).
Updating records Updating records Use the Update Path command to update one or more records. This allows you to locate offline source files and bring them back online. To update a single record: 1. 2. Select the record you want to update. Choose Update Path from the Source File menu (Alt+O, U). 3. Select the Update Thumbnail check box to generate a new thumbnail for the source file. 4. Select the folder location and file name that should be used to update the record.
Updating records To update multiple records: 1. Select the records you want to update. 2. Choose Update Path from the Source File menu. Click Add to add a selected folder to the search list. Click Add Subtree to add a selected folder and all its subfolders to the search list. Select folders in this list that contain the selected source files. 3. Select the Update Thumbnail check box to generate a new thumbnail for the source files. 4.
Renaming a source file 6. Click OK. During the update, if ImageAXS comes to a record whose source file it cannot locate in the folders you designated for the update, you will be prompted to locate a source file for that record. If you are unable to do so, click the Cancel button to skip the record and continue the update. Renaming a source file Changing source file names from within ImageAXS ensures that the records stay updated. To change a source file name: 1.
Source file information Source file information When a source file is acquired, the following file information is automatically saved: • File Name • File Type • File Size (in bytes) • Image Height (in pixels) • Image Width (in pixels) • File Modification date • Volume Name • File Location • Bits Per Pixel (color depth, e.g., 8-bit etc.
Editing a source file Editing a source file ImageAXS allows you to open and edit source files in editing applications. ImageAXS uses Windows file extensions to associate files with their editing programs. To edit a source file: Note 1. Select the record whose source file you want to edit. 2. Choose Edit Source File from the Source File menu. In the Thumbnails View, you can open a source file in its editing application by double-clicking its thumbnail while holding down the ALT key.
Counting words in a record or selection of records Counting words in a record or selection of records To count the words contained in any selected records: 1. Select one or more records in either the Thumbnails or Text List View. ImageAXS will return word counts for the entire selection. 2. Choose Word Count from the Record menu. The Word Count dialog box is displayed.
Converting source files (Professional version only) Converting source files (Professional version only) ImageAXS gives you the ability to copy your source files to different file formats. To open the File Conversion dialog box, select each record for which you want to convert the source file, then select File Conversion from the Source File menu. In the File Conversion dialog box, you can select options for the converted files.

Each collection in ImageAXS has a master list of keywords, which you can add to and delete from. You can link keywords that are in the Master Keyword list to individual records.
Modifying the Master Keywords list Modifying the Master Keywords list Choose Keywords in the View menu to open the Keywords View. The Master Keywords list appears in the left column. If you add, delete, or modify keywords in the Master Keywords list, the changes are automatically updated in all records. To add keywords to the Master Keywords list: 1. Open a record in Keywords View. 2. Click the data entry field above the Master Keywords list. 3. Type in a keyword. 4. Click Add or press Enter.
Attaching keywords to individual records To modify a keyword in the Master Keyword list: 1. Select the keyword in the Master Keywords list. The selected keyword will appear in the editable text box. Note 2. Modify the keyword as desired. 3. Click the Modify button. When modifying a keyword, do not press the Enter key. This will add the modified keyword to the list as a new entry. Attaching keywords to individual records To attach keywords to an individual record: 1. Open a record in Keywords View.
Attaching keywords to multiple records Attaching keywords to multiple records Keywords can be attached to multiple records at once within a collection or portfolio. If you have ImageAXS Professional, you can have multiple collections or portfolios open, and attach keywords from one to another. To attach keywords to multiple records: 1. Open a record in the Keywords View. 2. Select the keywords you want to attach to other records.
Importing and exporting keywords Importing and exporting keywords ImageAXS allows you to import and export keywords to and from text files. For example, you may want to import a batch of keywords that are specific to a particular profession, such as medical terminology. To export a collection’s master keywords to a text file: 1. Choose Export!Keywords from the File menu. 2. Enter the file name and select a folder location where you want to save the text file. 3. Click Save.

You can perform a basic search by specifying one line of criteria. Or, you can perform a more advanced search by specifying multiple lines of criteria.
Searching records 2. Select the field you want to search in the Field dropdown list. 3. Select the operation you want from the Operation dropdown list. • • 4. Note If you select Between, enter only two values separated by a space or comma. If you select One of, enter a series of values (separated by spaces or commas) to use as criteria. Enter specific items to be searched for in the Value text box. If you want to find records that do not match the specified criteria, select the Not check box. 5.
Searching records 2. Click Advanced to open the Advanced Search dialog box. 3. Select the field you want to search in the Field dropdown list. 4. Select the operation you want from the Operation dropdown list. As you specify different criteria to search for, each gets listed as a separate line item in this text box. • • 5. Note To edit a line of search criteria that you have already entered, select it in the Criteria list. Once selected, the line becomes active for editing. To delete a line, select it and click Delete Line. 8.
Using the and/or search operators Using the and/or search operators When you do an advanced search with multiple lines of search criteria, you can select And or Or as the search operator for each line. ImageAXS treats multiple lines of search criteria like a mathematical expression.
Saving and loading searches (Professional version only) Saving and loading searches (Professional version only) Whenever you construct a search that has multiple lines of search criteria, you can save the search to use again later. To save your search criteria: 1. Enter the desired search criteria in the Advanced Search dialog box. See “To perform an advanced search:” on page 78 for more information. 2. Click Save Search. 3. Enter a file name and location for the search file. 4. Click Save.
Searching subsets of records Note 3. Locate the desired search file. 4. Click Open. Loading a saved search will replace any search lines in the Criteria list. Once opened, a loaded search file can be modified and saved under a different name. Searching subsets of records By default, ImageAXS searches through all records in a collection. However, you can also search a subset of records. For example, you can search through all the records that were found from a previous search.
Searching subsets of records 3. 4. Enter your search criteria. Click Search. Any records matching your search criteria will be shown in the active window. To search a selected group of records: 1. Select the group of records you want to search in the Text List View or Thumbnails View window. See “Selecting records” on page 56 for more information. 2. Choose Show Selection from the Selection menu. Your selected records will be shown in the active window. 3.
Keyword searching Keyword searching You can perform basic or advanced searches using keywords as criteria. To perform a basic keyword search: 1. Choose Keyword Search in the Selection menu or click the Keyword Search button. 2. Select the keywords that you want to search for in the Keyword Search dialog box. (You can navigate to a keyword by typing its first few letters.
Keyword searching If you select only one keyword, you can select Not to search only for records that do not contain that keyword. If you select more than one keyword, you can select one of the following options: • • • • 3. Note And Returns records which contain all selected keywords. Or Returns records which contain any of the selected keywords. And Not Creates an “and not” relationship between the keywords. For example, ‘Snow and not Ski,’ would return all records containing ‘Snow’ but not ‘Ski.
Keyword searching To open the Advanced Keyword Search dialog box, choose Keyword Search from the Selection menu, and click the Advanced button. Adds a selected keyword to the search criteria. Select the keywords you want to use as criteria. Deletes a selected line of search criteria from the Criteria list. Loads a previously saved set of keyword search criteria. Selected criteria are listed here. Saves the current set of keyword search criteria to a file.
Sorting Records Sorting Records You can sort records in the active window to organize them based on the fields you specify. The most recently applied sort criteria will be applied to the collection the next time it is opened. Portfolios can be saved in sorted order. To sort records: 1. Choose Sort from the Selection menu or click the Sort button in the Toolbar. If your collection is in Text List View, you can also click the Sort icon in any column head. 88 2. Sharing records between Macintosh and Windows Sharing records between Macintosh and Windows ImageAXS Exchange files (AXE) allow you to easily transfer records between Macintosh and Windows machines. To export records as an ImageAXS Exchange file (AXE): 90 1. Open the collection that contains the records you want to export. 2. Choose Export !ImageAXS Exchange File from the File menu. 3. Select a folder location and enter a file name for the ImageAXS Exchange file. 4. Click Save.
Sharing records between Macintosh and Windows To import an ImageAXS Exchange file (AXE): 1. Choose Import !ImageAXS Exchange File from the File menu. 2. Select the ImageAXS Exchange file you want to import. 3. Click Open. You are prompted to save the ImageAXS Exchange file as a new collection. 4. Select a folder location and file name for the collection. 5. Click Save. The new collection opens.
Importing CSV text formatted data Importing CSV text formatted data ImageAXS can import comma separated value (CSV) data, which allows you to easily move data from other database applications into ImageAXS. Most database applications are capable of exporting data in CSV format. To import CSV data from other applications: Note 1. In the Thumbnails or Text List View, choose Import!CSV Text from the File menu. 2. Select the CSV file you want to import in the Open dialog box.

Importing ImageAXS 2.x formatted data Importing ImageAXS 2.x formatted data ImageAXS can import information exported from Macintosh and Windows ImageAXS 2.x data files as well as from EmbARK, a high-end product produced by Digital Arts & Sciences. To import ImageAXS 2.x formatted data: 1. In the Thumbnails or Text List View, choose Import!ImageAXS2.x Text from the File menu. 2. Select the ImageAXS 2.x formatted data file you want to import in the Open dialog box. The default extension for ImageAXS 2.
Mapping fields for ImageAXS 2.x collections (Professional version only) Mapping fields for ImageAXS 2.x collections (Professional version only) The Map dialog box appears so you can map fields when importing ImageAXS 2.x collections. The field map matches the fields from which ImageAXS draws the data and the fields to which ImageAXS writes the data. To map the fields: 1. Select a field which contains information you want copied in the Source Fields list. 2.
Mapping fields for ImageAXS 2.x collections (Professional version only) 3. Click Add. The fields appear in the Mapping area. If a green arrow appears between the fields, the data should export successfully. If a red arrow appears between the fields, it is likely that the exported data will be unusable. 4. 5. Repeat the preceding steps until all fields you want are in the Mapping area. Click OK. The data is copied.
Mapping fields for ImageAXS 2.x collections (Professional version only) Name Map Click this button to create a one-to-one correspondence between the fields in your source data file and your target file based on the names of the fields in the files. Remove Click this button to remove selected pairs of fields from the Mapping area. Remove All Click this button to remove all fields from the Mapping area.

Chapter 10 Creating Web Pages (Professional version only) Chapter Topics Overview Before You Begin Exporting Web Pages Creating Web Page Templates Overview ImageAXS Professional lets you convert your records into HTML format for display on the World Wide Web. You can choose from several different templates for these pages—or create your own template—to find the look that best suits your Web site.
Exporting Web Pages Note • Find out if your server’s operating system supports 32bit processing (as Windows 95 and Windows NT do). You must have a 32-bit server in order for users to download e-ZCards, an option that is discussed later in this chapter. • ImageAXS stores all files for your Web pages in the same folder. Some servers, however, separate files by function and format—for example, HTML, CGI, and source and thumbnail image files might all be in separate folders.
Exporting Web Pages To export a Web page from ImageAXS: 1. Select the records that you want for the Web page. If you do not select any records, ImageAXS automatically exports all records in the current collection or portfolio. 2. Choose Export!HTML Pages from the File menu. The HTML Export Wizard application appears. If you previously saved HTML page settings, they would be listed here. Select HTML Page settings and click Run Export if you want to use the HTML page settings without changes.
Exporting Web Pages 3. Click Next when you are ready to continue. The Destination Path dialog box appears. Enter a folder location for all of your Web files. Type in a folder location or click Select Web Root Folder to find the folder you want. Enter a folder name for storing all your Web files. This continues from the path name in the previous field, so type a backslash (\) on each side of the name. Click Select Pages Path Name to find a folder that already exists on your system.
Exporting Web Pages 5. Click Next when you are ready to continue. Select this to only show thumbnails. Clicking the thumbnail will have no effect. Allows users to click thumbnails to display a larger version of the original source file. Allows users to click thumbnails to display a page containing the information for the record. The thumbnail image on this new page is linked to a larger version of the original source file.
Exporting Web Pages 7. Click Next when you are ready to continue. Enter the name of the desired template for your Web page. Click Select Thumbnail Page Template to choose from a set of standard templates. Select how many thumbnails you want per page. Click Custom to enter how many thumbnails you would like arranged horizontally (Width) and vertically (Height) on your Web page. Select this if you want the selected template to be suggested for future Web pages you create. 8.
Exporting Web Pages 9. Click Next when you are ready to continue. Use the drop-down list to select a field from your ImageAXS records. The entry in this field will serve as the caption for each of your thumbnail images. Enter a number between 25 (low quality) and 100 (high quality) for the images on your Web page. Note that higher-quality images take up more disk space and may take longer to load. 10. Select a thumbnail size, caption field, and quality level for your thumbnail images.
Exporting Web Pages 11. Click Next when you are ready to continue. If you previously selected the Link to an Info Sheet and Full-Size Image option, the Info Sheet Configuration dialog box now appears. Enter the name of the template you want to use for your Info Sheet page. Click Select Info Sheet Template to choose from a set of standard templates. Enter the name of the template you want to use for your source image page. Click Select Source Image Template to choose from a set of standard templates. 12.
Exporting Web Pages 13. Click Next when you are ready to continue. If you previously selected the Search Engine option, the Search Page Configuration dialog box now appears. Click Select Template File to view a list of available page templates. Allows users to type in their own keywords for searching. Provides a drop-down list of keywords for users to select. Creates a keyword table that shows all keywords beginning with a given letter selected by the user. 14.
Exporting Web Pages 15. Click Next when you are ready to continue. If you previously selected the e-ZCard Maker Selection option, the e-ZCard Maker Configuration dialog box now appears. Select one of the standard extensions (.cgi or .exe) or select the third option and type the preferred extensions. Enter a folder location for your CGI scripts, or click Browse to locate a folder for this purpose. 16. Select a CGI file extension and scripts folder.
Exporting Web Pages 17. Click Next when you are ready to continue. The e-ZCard Maker Configuration dialog box appears. Click Configure e-ZCard to display the Compose e-ZCard dialog box, which allows you to define the e-ZCard’s attributes. (See Chapter 11 for more information.) 18. Enter the desired attributes for your e-ZCard.
Exporting Web Pages 19. Click Next when you are ready to continue. 20. Select a screen display size for your Web page. The size of your Web page should match the typical display area of the monitors most of your audience uses.
Exporting Web Pages 21. Click Next when you are ready to continue. Enter a number between 25 (low quality) and 100 (high quality) for full-size images. Select the check boxes if you wish to recompress either JPEG or GIF files. 22. Enter a quality level for full-size images.

Select this to preview your Web page To create future Web pages with all the attributes you just selected, enter a name and click Save Settings. These saved settings will be listed the next time you start an HTML Export. 24. Save your settings, if desired, and then click Finish. ImageAXS begins exporting the records you selected into an HTML-formatted page.
Creating Web Page Templates Area extensions These define the appearance of the page. Place area extensions on separate lines, without any other code. Note The first three extensions can only appear once per template. Used to define the page itself; usually contains an HTML table definition. Typically used to define the rows of the table; must be inside IAXPAGE brackets.

Chapter 11 Exporting e-ZCards (Professional version only) Chapter Topics Overview Exporting e-ZCards from ImageAXS e-ZCard options Overview ImageAXS Professional allows you to export your records as an e-ZCard. This is a small, self-contained application that allows users to view images on their computer even if they do not have ImageAXS or any of the programs used to create your media files.
Exporting e-ZCards from ImageAXS Exporting e-ZCards from ImageAXS To export e-ZCards from ImageAXS: 1. Select all of the records you want to include in the e-ZCard. If you do not select any records, ImageAXS automatically exports all records in the current collection or portfolio. 2. Choose Export!e-ZCard from the File menu. The Compose e-ZCard dialog box appears. The source files and records that will be exported appear in this list. 3. Select the desired options for your e-ZCard.
e-ZCard options e-ZCard options You can select e-ZCard options in the Compose e-ZCard dialog box. This section describes these options. Horizontal Caption Select the field that you want to display as a horizontal caption for all records. For example, selecting Title would display each record’s title horizontally below the record’s image. Vertical Caption Select the field that you want to display as a vertical caption for all records.
e-ZCard options Target Resolution Select the type of monitor on which you expect the e-ZCard to be displayed. Note that selecting a higher resolution increases the file size of your e-ZCard. Target Media Size/Customize This is the amount of disk space available on your target media. If you need your e-ZCard to be sized to fit specific media, such as a floppy disk, click Customize to open the Destination Media dialog box. Does not scale images at all. Scales images to fit on a 1.44 MB disk.
e-ZCard options e-ZCard File Name/Browse Enter the desired folder location and file name for your e-ZCard. ImageAXS will automatically add the .exe extension to the file name. Click Browse if you want to change the default location for saving your e-ZCard. Title String Enter up to 30 characters, which will appear at the upper left corner of the e-ZCard viewing window. This string can be used to display title and copyright information.
e-ZCard options e-ZCard Settings dialog box Click Settings in the Compose e-ZCard dialog box to open the e-ZCard Settings dialog box. This dialog box lets you optimize the appearance of the images in your e-ZCard by balancing image compression (and file size) against display quality. Full Image Preview You can scale the full image down along the vertical and/or horizontal axis by using the scroll bars, or by typing the size you want for the axis (in pixels).
e-ZCard options Sharpening This effect makes the edges of the image more defined (higher values) or less defined (lower values). Change the sharpening value by using the scroll bar or by typing a value between 1 and 254 directly into the field. Your changes will be reflected immediately in the thumbnail image displayed in the Sharpening area. Compression Compressing an image reduces its disk space requirement, but also reduces its quality.
e-ZCard options Use Grayscale-rich Palette for 256 Colors Optimizes the appearance of your images if they are displayed on 256-color (8-bit) systems. Number of Thumbnails per Page Choose a number from the drop-down list (numbers in parentheses indicate the grid pattern of the page layout). The display size of the thumbnails will decrease as you increase the number of thumbnails that appear on the page. Default Click Default to return the settings to their default values.
e-ZCard options Choose Font Click Choose Font to open the Font dialog box, which contains settings for defining the appearance of text. Note To make sure your e-ZCard looks the way you designed it, select fonts that are likely to be on the systems where your e-ZCard will be displayed. Background Color Click Background Color to open the Color dialog box, which contains settings for defining the color used for the background of the front page.
e-ZCard options There are two main ways to select a background color: • Click one of the color boxes in the Basic Colors or Custom Colors area. • Click anywhere in the rainbow-colored area on the right side of the dialog box. In either case, the color you select will appear in the Color/ Solid area of the dialog box. Adjusting colors If you select a color from the rainbow-colored area, you can adjust a number of its characteristics.
e-ZCard options Note You can also control the luminosity setting by dragging the triangle alongside the bar at the right of the rainbowcolored area up and down. Red/Green/Blue The values in the Red, Green, and Blue fields reflect the intensity of those components of the color. For example, a value of zero (0) for red means the color has no red component, whereas a value of 254 means the color has a maximum amount of red.

To check your printer setup before printing, choose Print Setup in the File menu. Note If you want to print a specific group of records, select them in your collection before choosing Print or Print Preview. You can then choose to print only that selection.
Printing records To preview your print job: 1. Choose Print Preview from the File menu to open the Print Preview window. If you are previewing from a multiple record view, the Printing Multiple Records dialog box prompts you to choose a format and specify a range of records to preview. You can preview all records that are currently selected. 2. Select options in the Printing Multiple Records dialog box, if applicable, and click OK. The Print Preview window appears.
Printing records To print records: 1. Choose Print (Ctrl + P) from the File menu or click the Print button on the Toolbar. If you are printing from a multiple record view, the Printing Multiple Records dialog box prompts you to choose a format and specify a range of records to print. Selecting page setup options Selecting page setup options The Page Setup dialog box allows you to control the format and range of your printed output. To open the Page Setup dialog box, choose Page Setup from the File menu. Grid Layout Specify the number of thumbnails to print on a page here. ImageAXS scales the thumbnail images to fit the grid/page. The maximum grid is 12 x 24 and the minimum grid is 1 x 1. Format Select a format for use when you print from the Thumbnails View.

Select Text List if you want record information printed as a text list report. Select Info Sheet if you want records printed as Info Sheet pages. Range options Specify the range of records that you want to print when printing from the Thumbnails and Text List views.
Printing Text List Reports Printing Text List Reports You can print out text reports containing selected field information from the records in your collection. To print a Text List Report: 1. Choose Customize Report from the Tools menu to open the Text List Report window. The Sample Text List Report window displays a preview of the current report settings. Use the Previous and Next buttons to navigate through pages displayed in the report. The Custom Report dialog box also appears.

As you change settings, the results are reflected in the Sample Text List Report window. Note You can load presaved settings by selecting a report template. The fields will appear in the report (from left to right) in the order they are listed. This list contains the names of all fields that are not included in the report. Use these buttons to add, remove, and rearrange fields that are included in the report.
Customizing Text List Reports Inserting Macros You can select macros to insert in the Title, Header, and Footer text boxes by clicking their right arrows. Use macros when you want information to automatically be inserted. • %C (Collection Name) Inserts the name of the collection. For example, if you entered the string “%C Collection Report” in the Title entry box, and printed a report for the sample collection, the title “Sample Collection Report” would appear as the title of each page.
Customizing Text List Reports Footer The text and macros you enter in this box appear as a footer at either the right or left of the pages in your report. Select an alignment option by clicking the right arrow. Custom Report: Dimensions Click the Dimensions tab to select dimensions for your report. Enter the maximum number of lines of text you want in each row. Enter the desired sizes (in inches) for the paper width, top margin, left margin, and column width.
Customizing Text List Reports Custom Report: Template Click the Template tab to select a template you want to use for printing reports. You can also edit templates and create new templates. Click New to save a newly named template. This becomes a Save button when working with existing templates. Click Save to save any changes made to templates Click Delete to delete the currently selected template. Select an existing template in the drop-down list. Or, enter a name for a new template you want to create.
