Use Data Guardian with Windows
Your administrator has already congured policies to protect documents and will tell you which of these options apply to your enterprise.
Overview of Options
This overview summarizes possible options for Data Guardian based on policy set by your administrator. These documents will be secure
whether your data is in use, at rest, or in motion as you share them with others or store them on removable media.

Protection
These are applications and le types that
your enterprise wants to encrypt and your
administrator has congured.

Oce and macro-
enabled
documents
These
include .docx, .pptx, .xlsx, .pdf, .docm, .ppt
m, .xlsm, and .pdf.

You will have one of these modes:
Opt-in
Force-Protected
Data Classication Used with Windows and opt-in mode. See Data Classication.
Additional menu
options
These may apply to Oce documents,
basic les, or both.

Outlook Email and
attachments
See Outlook Email.
Share a le with an
external user
User who has a non-domain email address
(either someone from a dierent enterprise
or an internal user who wants to access
protected les from a non-domain email
address.

NOTE:
External users can only install Data Guardian on a mobile client
or the web portal.
Work Online with Protected Documents
When creating protected documents, the best practice is to work online because keys are generated for those documents. If your
computer is re-imaged and you created protected documents oine, be sure to notify your administrator.
File Properties > Dell Data Guardian tab
With protected Oce documents, you can right-click and select Properties. A Dell Data Guardian tab displays with information, such as
the le's Key ID and access and embargo data.
Overlay icons for Windows
For Data Guardian 2.2 and higher, overlay icons display on protected les in File Explorer. If you right-click that protected le, a Dell Data
Guardian tab provides more information.
