Directory Services  
There are two types of Directory Service provided that prompt callers to the Auto Attendant with 
a list of names and extension numbers. 
The first is the “Simple Directory Service” and the other the “Dial-by-name service”. Only one of 
the services can be activated on the system. 
Simple Directory Service 
This is a service where a greeting is recorded on site listing names and their extension numbers. 
When the directory message is recorded you can access it by dialling # when listening to the Auto 
Attendant greeting. 
If you dial # and there is no directory message recorded, the call is presented to the group or 
extension programmed for the line in the Incoming Ringing programming. See page 53 
Recording the directory message automatically activates the service. You must record a new Auto 
Attendant greeting to prompt users to dial # for the directory once you have recorded the directory 
message. 
To record a directory message 
From the Programming extension, press the PROGRAM key.  
•  Press the Scroll Down key (Ô) until “System Programming” is displayed. 
•  Select “System Programming”. 
•  Enter the System Programming Password and select “System”. 
•  Press the Scroll Down key (Ô) until “Change Greetings” is displayed. 
•  Select “Directory Message”. 
•  Select Record Greeting 
•  Record the message after the tone and then press “Confirm”. 
Note: This directory message applies to the Simple Directory Service only. 
Dial-by-name Service (8 Port Voicemail Module only) 
When the “Dial-by name” service is programmed in the switch it is accessed by dialing # when 
listening to the auto-attendant greeting, 
The Dial-by-name greeting is returned. “Using the keys on your telephone please spell the last 
name of the person and then press #. For the letter Q press seven for the letter Z press nine. To 
exit the directory press star”. 
Note: This message cannot be changed. The directory greeting that can be recorded applies to the 
Simple Directory Service only. 
The “Quick spell” method of entering names is used. 
If the user does nothing, no digits are detected, the message is replayed after a 5 second delay. If 
no digits are entered after a further 5 seconds the call is presented to the destination set in the 
Incoming Ringing programming for the line. See Page 53. 
If * is dialed the Auto attendant message is played. 
When the user enters the name followed by # the extension name is played followed by the 
following message: 
“If this is correct press #. For the previous name in the directory press 1, to hear the next directory 
name press 2, to spell a new name press 3, to exit the directory press star”. 
If no name is programmed the following message is played:
