Vacation scheduling
Vacation scheduling should balance the needs of the company with the needs of all employees.
While we will try to accommodate your requests, it might not be possible in all cases. As there
are different requirements for staffing in each department at various times of the year (e.g.
busy holiday season in Galesburg; fiscal year end for Finance; etc.), in some cases it may be
difficult to approve your requests (i.e. at all or for the length of time you want); however, we will
do our best to accommodate where possible.
You can make requests for vacation once your time has been accrued (and following at least
three months).
Vacations are generally scheduled on a first come, first serve basis. We try to be flexible about
allowing last minute requests but there are no guarantees, especially if there isn’t appropriate
back-up coverage within your department (be sure to check the shared calendar on JLM).
Make your vacation request through JLM (Jouta Leave Manager, which is our real-time, online
leave tracking system). Details and instructions are on in the JLM section of this handbook.
If your manager is away (and won’t be checking emails) and you need something approved
during that time, check with another manager, or with HR.
Before you leave for your vacation
Be sure to:
Notify your team and ensure they have the necessary information and resources to
cover your work
If applicable, change your voicemail greeting to say you are away, when you’ll return,
who an alternate contact is and the alternate’s contact information
If you use email at work, create an out-of-office message
Submit your timesheet for the period of time you will be on vacation
