Unless you are using the company credit card or your own credit card/car insurance plan
clearly covers collision insurance for rental cars, you must obtain collision insurance when you
rent a vehicle for Bradley Smoker business.
Air Travel
Wherever possible, airline tickets should be booked in advance in order to take advantage of
any discounts. In doing so, keep in mind that discount fares rarely allow changes. For that
reason, it’s important to be able to commit to your travel dates; changes may only be made in
extraordinary circumstances. To take advantage of special low fares, please observe the
following guidelines whenever possible:
 Make reservations a minimum of 7 days in advance of travel date
 Purchase non-refundable tickets
 Travel Economy class or on special restricted fares
Flights should always be booked using the company credit card. If you don’t have a company
card, or if you prefer to have flights booked for you, they should be booked through Cher at
Carson Wagonlit ([e-mail]).
While traveling by air, meals and snacks are reimbursable with original receipts. Other
expenses incurred while in flight for such things as alcoholic beverages or earphones are not
reimbursable. We’ll also reimburse costs associated with one checked bag provided the airline
doesn’t include any checked baggage allowance as part of the air ticket. Excess baggage fees
will be reimbursed only under the following circumstances:
 You need to bring an excessive amount of material for the business purpose of the trip
 You have excessive baggage due to an extended trip
We won’t cover additional costs related to bringing or purchasing personal belongings that
aren’t directly related to the business (e.g. bringing sports/ recreation clothing or equipment,
buying souvenirs, personal luggage or accessories etc.).
Provided you are covered by our group benefits plan, you do not need to purchase life and
accident insurance from the airline. When applicable, however, you may need to purchase out
of country travel and cancellation insurance prior to the start of travel.
Accommodation
Appreciating that the cost of accommodation will differ depending on location, our standard is
a single room, in a safe environment, conveniently located and comfortably equipped. While we
want to be budget-conscious, we also want you to be comfortable when away from home and
maintain the professional image of our company. For that reason, our general rule is to not
book hotels with a number or color in the name, but we don’t typically stay in the most high-end
downtown hotels either. That being said, proximity to the tradeshow or business event should
be considered, as the cost of transportation from one side of a city to another can override the
cost savings of a less expensive hotel.
