Company Cell Phones & Allowances
Cell phones or a cell phone allowance are provided to those who require them for legitimate
business reasons (e.g. sales). If you’re unsure if you qualify for a company-paid phone or
allowance, please speak with your manager. As we appreciate that it’s inconvenient to carry
two phones (one for work and one for personal), we choose data/voice plans to allow for
frequent local use at any time during the day or week (unless special consideration has been
given for those whose roles require that you communicate with out-of-town customers on a
continuous basis). That said, company-provided phones are intended first and foremost for
business-related use.
Travel and Personal Use
In the case of personal use beyond the company’s plan data/voice plans, personal travel
and/or vacations, any additional costs incurred are solely your responsibility. You will be
required to pay back any charges related to personal use, personal roaming and/or personal
long distance charges. In the case of personal travel, vacations and any situations where you
know you’ll need more data/voice than provided by our plan, please arrange for a temporary
roaming/voice/data add-on, whether traveling on behalf of Bradley Smoker or otherwise.
Alternatively, to ensure you don’t incur accidental costs during personal travel, we recommend
you manually disable data/roaming while traveling.
When traveling on Bradley Smoker business, we also expect that you’ll use your best
judgement to keep additional costs to a minimum (e.g. wherever possible, use the hotel’s WIFI).
Travel & Business Expenses
If you need to travel in the course of your work, Bradley Smoker will pay for expenses that are
directly related to planned and pre-approved business travel including but not limited to the
following: air fare, accommodations, work-related transportation and meals. Personal expenses
while travelling for business are not reimbursable (e.g. extending trips and personal
entertainment).
Use of Personal Vehicle
If you use your own vehicle to travel for business you may be reimbursed for the distance
travelled. This allowance is intended to cover your fuel and operating costs. It is not meant to
be used for your day-to-day commute to/from Bradley Smoker and your home. Please note that
receipts are not required for mileage; however they are for parking and tolls.
If your role requires that you occasionally have customers in your vehicle, be sure that it is
clean and presentable.
Rental Vehicles
The decision regarding the type of vehicle you rent (i.e. economy, full size, SUV, snow tires, etc.)
should be based on the location you are travelling in and the purpose of your trip. If you need to
haul a lot of materials for a tradeshow and will be travelling in winter conditions, an SUV with
all-wheel drive may be the best choice. However, a more economical option may be better
suited for driving from point A to point B in the summer and without materials.
