If you want to specify settings for a specific printer, InCopy provides access to the printer driver through the Setup
button in the InCopy Print dialog box. In Windows, this button opens the Properties dialog box for the currently
selected printer. In Mac OS, this button displays the standard Mac OS Print dialog box.
Setting up a PPD
A PPD file isnt the same as a printer driver; instead, it customizes the behavior of the driver for your specific printer.
A PPD file contains information about the output device, including printer-resident fonts, available media sizes and
orientation, optimized screen frequencies, resolution, and color output capabilities. It’s important to set up the
correct PPD before you print. Selecting the PPD that corresponds to your PostScript printer determines which
settings are available in the InCopy Print dialog box.
Forbestprintingresults, Adoberecommendsthatyou obtain thelatestversion of thePPD file foryouroutputdevice
from the manufacturer. Be sure to store PPDs in the location specified by the operating system. For details, consult
the documentation for your operating system.
To select a PPD file in Windows
1 Depending on your version of Windows, do one of the following to open the Add Printer wizard:
In Windows® 2000, choose Start > Settings > Printers > Add Printer.
In Windows XP®, choose Start, open the Printers and Faxes control panel, and click Add a Printer.
2 Follow the instructions to add a printer and specify a PPD file for your printer.
To select a PPD file in Mac OS
1 Double-click the Print Center (Mac OS 10.2.x) or the Printer Setup Utility (Mac OS 10.3.x) in the Utilities
subfolder of the Applications folder.
2 Choose Printers > Add Printer.
3 From the top menu, choose a connection method.
4 Select a printer, or enter the printer’s IP address.
5 From the bottom menu, select a printer model.
6 In the list that appears, select a PPD file, and then click Add.
Printing stories
To print the Galley or Story view
When you print the Galley or Story view, InCopy prints unformatted text in a continuous column (or columns),
without layout and formatting features. Printing in Galley or Story view gives you hard copy that resembles galleys
in traditional publishing. The galley format makes it easy to concentrate on the textual content of a story, and to see
the changes made by you and other contributors.
1 Choose File > Print.
2 Choose Galley & Story from the View option in the Print dialog box
